Invite someone who does not have Groove to a Groove Workspace

To invite someone who does not have Groove to a Groove workspace, send the invitee an e-mail invitation. To do this, create a workspace, and then select one of the following methods:

Method 1: Send an e-mail invitation from Groove in Groove Virtual Office 3.x

  1. Open a workspace.
  2. Under Invite to workspace, type the e-mail address of the invitee. Then, click Go.

    Note The invitee will receive an e-mail message that contains the following subject line: A Groove invitation for you from identity name This message contains a link to the free trial version of Groove. The message also has an invitation file attached.

    Note If you have not yet sent invitations by e-mail and if you have Outlook installed, you may be asked if you want to use Outlook to send the invitation. If you click No, the e-mail will be sent from the Groove Enterprise Relay Server that is associated with your account.

Method 2: Send an e-mail invitation from Groove in Groove Workspace 2.x

  1. Open a workspace, click Invite, click Recipients, and then select Enter an e-mail address.
  2. Type the e-mail address of the invitee, click Add, and then click OK.
  3. Select a role and other appropriate options. Then, to send the invitation, click Invite.

Save an invitation as a file

To save an invitation as a file, use one of the following methods:

Method 1: Save an invitation as a file in Groove Virtual Office 3.x

  1. On the File menu, click Save Invitation as File.
  2. Complete the Save Invitation as File dialog box, select a file location, and then click OK.

Method 2: Save an invitation as a file in Groove Workspace 2.x

  1. On the Options menu, point to Invite, and then click Save Invitation File.
  2. In the Save Invitation File dialog box, fill in the requested information, select a file location, and then click OK.
Note Methods 1 and 2 let you save the workspace invitation as a file to a local drive. After you have saved the file, you can make it available to other people who you want to invite by using any means that will preserve a binary file. For example, you can put the file on an FTP server or on a Web page. Make sure that you include instructions to download Groove with the file. Also, instruct the invitees to double-click the invitation file after they download and install Groove.
