The changes that were made by all reviewers are included when you print a Word 2002 document that has the Track Changes feature enabled (905419)

The information in this article applies to:

  • Microsoft Word 2002

SYMPTOMS

Consider the following scenario:
  • You receive a Microsoft Word 2002 document that two or more people reviewed by using the Track Changes feature.
  • You click Show on the Reviewing toolbar, point to Reviewers, and then click to select one of the reviewer check boxes.
  • The document now displays only the changes that were made by the selected reviewer.
  • When you click Print Preview on the File menu, the preview displays only the changes that were made by the selected reviewer.
  • In the Print dialog box, you click Document showing markup in the Print what list.
When you print the document, the changes that were made by all reviewers are included instead of only the changes that were made by the selected reviewer.

WORKAROUND

To use this workaround, you must install Microsoft Office XP Service Pack 3 (SP3) and the Word 2002 post-Service Pack 3 hotfix package that is dated June 29, 2005. For more information about these updates, click the following article numbers to view the articles in the Microsoft Knowledge Base:

To work around this problem, accept the changes that were made by the reviewers whose changes you do not want to print. This workaround requires that you do not save any changes that you make after you accept the changes that were made by the reviewers whose changes you do not want to print. Follow these steps:
  1. If you made any changes to the Word 2002 document, click Save on the File menu.
  2. On the Reviewing toolbar, click Show, point to Reviewers, and then click to clear the check box for the reviewer whose changes you want to print.

The changes that were made by that reviewer are no longer visible in the document.
  3. On the Reviewing toolbar, click Accept All Changes Shown in the Accept Change list.
  4. Click File, click Print, and then click Document showing markup in the Print what list.
  5. Click OK to print the document.
  6. After the document prints, click Close on the File menu.
  7. When you receive the following message, click No: Do you want to save the changes to document_name.doc?
  8. Reopen the document. Then, repeat steps 2 through 7 for each reviewer whose changes you want to print.
Note The comments that were made by all reviewers are printed when you print the document.
