A Word template does not appear in the "Manage Microsoft Word Templates" dialog box in Small Business Accounting (835310)



The information in this article applies to:

SYMPTOMS

In Microsoft Office Small Business Accounting, a Microsoft Word template does not appear in the Manage Microsoft Word Templates dialog box. The Word template is a template that you created or modified.

CAUSE

This problem occurs when one of the following two conditions is true:
  • The template was not saved in the correct folder.
  • The template was renamed as something other than a document (.doc) file.

RESOLUTION

To resolve this problem, follow these steps:
  1. Make sure that the template is in the correct folder:
    1. Right-click Start, and then click Search.
    2. In the All or part of the file name box, type Template Name.*.

      Note Template Name is the name of the template that you created or modified.
    3. In the Look in drop-down list, click Local Hard Drives (C:). Then, click Search.
    4. After the search results are displayed, click Details on the View menu to view the file names and the file locations.
    5. Locate the template that you are trying to use. Make a note of the location that is displayed in the In Folder column. The default folder for these templates is C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\Document Type.

      Note Document Type stands for a folder name. For example, if you are trying to print an invoice, you must save the file in C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\Invoice. For more information about these folder names, see the "More Information" section.
  2. If the template is in the correct folder, go to step 3. If the template is not in the correct folder, follow these steps:
    1. Right-click the file name of the template, and then click Copy.
    2. In the Address box of the Search Results dialog box, type C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\. Then, click Go.
    3. Double-click the folder that corresponds to the document type of the template. For example, if you created a new Invoice template, double-click the Invoice folder.
    4. On the Edit menu, click Paste.
    If you still experience this issue after you do steps 1 through 2, go to step 3.
  3. Make sure that the new or modified Word template has a file name extension of .doc.
    1. Right-click Start, and then click Explore.
    2. In the Address box, type C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\. Then, click Go.
    3. Double-click the folder that corresponds to the document type of the template. For example, if you created a new invoice template, double-click the Invoice folder.
    4. Locate the document file that you are trying to use. Make a note of the file name extension.

      Note If you do not see the file name extensions, click Folder options on the Tools menu, and then click the View tab. Click to clear the Hide extensions for known file types check box.
    5. If the file name extension is something other than .doc, right-click the file, and then click Rename.
    6. Change the file name extension to .doc, and then press ENTER.

MORE INFORMATION

Each template type that can be modified has its own folder. These template types are Invoice, Sales Order, Quote, Customer Credit Memo, Customer Statement, and Purchase Order. Only files that are in the corresponding folder will be displayed when you choose a specific template type. The default folder where these templates are stored is in the following location:

C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\Document Type


Note In step 1e, Document Type stands for one of the following folder names:
  • Invoice
  • SalesOrder
  • Quote
  • CustomerCreditMemo
  • CustomerStatement
  • PurchaseOrder


Note Only documents that have a file name extension of .doc will appear in the Manage Microsoft Word Templates dialog box. If the template is saved with any other file name extension, the template will not be available when you try to use Word templates.

Note In Microsoft Office XP and in Office 2000, the templates are in the Basic Templates folder.
