E-mail messages and files are not downloaded to Outlook folders during the synchronization process in Outlook 2003 (820867)

The information in this article applies to:

  • Microsoft Office Outlook 2003
  • Microsoft Office Outlook 2003 with Business Contact Manager

SYMPTOMS

If you view the properties of your Inbox folder, and then click Clear Offline Items in the Inbox Properties dialog box after you synchronize your Outlook folders in Outlook 2003, the Inbox folder only has some e-mail messages and files, and the synchronization process ends with the following message:

All folders are up to date

Additionally, if you try to synchronize your Outlook folders again, no additional e-mail messages or files are added to your Inbox folder. Only new e-mail messages that have arrived after the original synchronization are downloaded.

If you view your Inbox folder by using Outlook Web Services or from a different computer that views the Inbox folder contents on the Microsoft Exchange server, all your e-mail messages and files are present.

CAUSE

This problem occurs if you clear the offline items before the synchronization process has completed

WORKAROUND

To work around this problem and download all your e-mail messages and files, follow these steps:
  1. Synchronize your Inbox folder. To do this, use one of the following methods:
    • To synchronize your Inbox folder, click the Tools menu, point to Send/Receive, and then click This Folder.
    • To synchronize all your folders that are set up for offline use, click the Tools menu, point to Send/Receive, and then click Send and Receive All.
Wait until Outlook 2003 completes the synchronization process before you continue to the next step.
  2. Right-click the Inbox folder, and then click Properties.
  3. Click the General tab, and then click Clear Offline Items.
  4. Click OK.
  5. Repeat step 1.
