SYMPTOMS
When you check out a document in Microsoft SharePoint Portal Server,
modify the document, check the document in without publishing it, and then attach the document to
an e-mail message in Outlook, different versions of the
document may be attached to the message.
For example, you may experience
one or both of the following symptoms:
- When you click Insert File in
Outlook, click the file that you want to attach in the Insert
File dialog box, and then click Insert, the published
version of the document is attached to the Outlook message.
- When you drag the document from Windows Explorer to the
message in Outlook, the edited, checked-in, but unpublished version (the latest
version) of the document is attached to the message.
Therefore, the latest version of a document is not always
attached to the message in Outlook. Different versions of the document are
attached, depending on the method that you use to attach the
document.
RESOLUTION
To resolve this problem, obtain the latest
service pack for Microsoft Office XP. For additional information, click the

The Global version of this fix has the file attributes (or later) that are listed in the following table. The dates and times for these files are listed in coordinated universal time (UTC). When you view the file information, it is converted to local time. To find the difference between UTC and local time, use the
Time Zone tab in the Date and Time tool in Control Panel.

To enable the functionality of this hotfix, follow these steps.
WARNING: If you use Registry Editor incorrectly, you may cause serious
problems that may require you to reinstall your operating system. Microsoft
cannot guarantee that you can solve problems that result from using Registry
Editor incorrectly. Use Registry Editor at your own risk.
- Click Start, and then click
Run.
- In the Open box, type
regedit, and then click OK.
- Locate the following registry key:
HKEY_CURRENT_USER\Software\Microsoft\Office\10.0\Common
- Right-click the registry key that you located in step 3,
point to New, and then click DWORD
Value.
- Type SPSAlwaysUseLatestDocVersion,
and then press ENTER.
- Right-click the SPSAlwaysUseLatestDocVersion value that you created in step 5, and then click
Modify.
- In the Value data box, type
1, and then press ENTER.
- Quit Registry Editor.
After you install the hotfix and add this registry entry, the
latest version of the document is attached when you click
Insert
File in Outlook or when you drag the document from Windows Explorer to
the message in Outlook.
