XCCC: "Conference Resource Mailbox Is Already Booked for the Specified Time" Error Message Occurs After You Update an Online Meeting Item (311841)

SYMPTOMS

After you perform an update of a online meeting item, if you try to send the update to all of the participants, you may receive the following error message:
Exchange Conferencing Resource is already booked for the specified time. You must use another time or find another resource.
You did not receive this error message when you created the meeting item before you performed the update.

CAUSE

This behavior may occur if there are not enough available spaces for participants for this particular timeframe. If you modify an online meeting item, and then click Send Update, the entire meeting request is resubmitted to the Conference Management Service, which again determines whether the resource is free or busy.

RESOLUTION

To resolve this behavior, delete the meeting item, and then recreate it with the appropriate information.

WORKAROUND

To work around this behavior, increase the value of the Max number of scheduled connections / Max number of conference participants setting in either the Data Conference Provider or the Video Conferencing Provider. After you the increase the value for this setting so that it is greater than the number of participants that are configured for the conference room that you are trying to use, you can successfully update the meeting item.
