WD2001: Fields Appear on Same Line When You Merge Data from Excel Workbook (293280)

SYMPTOMS

When you merge a data document that contains 63 or more fields and you insert the fields, all of the fields from field 63 and greater appear on the same line and cannot be inserted separately.

CAUSE

Word 2001 has a limitation of 63 columns in a table. When data is imported from Excel 2001 to Word 2001, the data is converted into a table.

WORKAROUND

To work around this behavior, do one of the following:
  • Export the data from Excel in a comma-delimited format.

    -or-
  • Modify the data document to fewer than 63 fields.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

To export the data into a new document in the comma-delimited format, follow these steps:
  1. In the Excel workbook, click Save As on the File menu.

    NOTE: To create a copy of the workbook, type a different name in the Name box.
  2. On the Format menu, select CSV (comma delimited), and then click Save.
  3. When the following message appears, click OK:

    The Selected file type does not support workbooks that contain multiple sheets.

    To save only the active sheet, click OK.

    To save all sheets, save them individually using a different file name for each, or choose a file type that supports multiple sheets.

  4. After you click OK in the preceding message, the following message appears. Click Yes in this message:

    File name may contain features that are not compatible with CSV (Comma delimited). Do you want to keep the workbook in this format?

    To keep this format, which leaves out any incompatible features, click Yes.

    To preserve the features, click No. Then save a copy in the latest Excel format.
