Works: Extra Spaces Added in Place of Null (Empty) Fields (282465)

If you have multiple fields separated by a space and placed on the same line next to each other, then when you perform a mail merge using a Microsoft Works database file, an extra space appears in the results. For example, if you have the following fields
Dear <<Husband>> <<and1>> <<Wife>> <<Lastname>>
and you merge a the husband's name but not the wife's name, the result will look like this:
An extra space is shown between first name and last name.
CAUSE
This issue occurs if a field that is null (empty) is placed next to a space in the document. In the example in the "Symptoms" section, the fields "and1" and "Wife" are empty.
RESOLUTION
To work around this issue, do not insert spaces between the fields so that the null (empty) fields create the space. For example, set up your fields in the form letter like this:
Dear <<Husband>><<and1>><<Wife>> <<LastName>>,
Note that there are no spaces between the "Husband", "and1", and "Wife" fields. If you have a couple, you not only put in the second name, but fill the "and1" field with "and" so that the fields are concatenated to form a single salutation. Note If you do not use an "and1" field, you can create one in the database by clicking Insert Field on the Format menu.
