PRJ: Unexpected Max. Units in a File Saved in Microsoft Project 98 Format (245866)

SYMPTOMS

In Microsoft Project 2000, when you save a project in the Microsoft Project 98 format, the project may have an unexpected Max. Units value for a resource.

CAUSE

This problem may occur when you do the following:
  1. In Microsoft Project 2000, the Resource Availability table (in the Resource Information dialog box for the resource) contains a date in the Available From column in the first row, or the Available To column in the last row.
  2. In Microsoft Project 2000, you save the project in the Microsoft Project 98 format.
  3. You reopen the file in Microsoft Project 98 or Microsoft Project 2000.
Microsoft Project 2000 saves the value that is currently displayed in the Max. Units field when saving to the Microsoft Project 98 format. Microsoft Project 2000 determines the current value of the Max. Units field based on the value of the Current Date field in the Project Information dialog box, relative to the various resource availability periods defined in the Resource Information dialog box.

For example, suppose you have the following in the Resource Availability table in Microsoft Project 2000:

If the Current Date is 6/10/2000, then the Max. Units field in Microsoft Project 2000 displays 100%, so 100 percent is the value saved to the Microsoft Project 98 format. If the Current Date is 8/22/2000, then the Max. Units field in Microsoft Project 2000 displays 200%, so 200 percent is the value saved to the Microsoft Project 98 format.

WORKAROUND

To change the Max. Units to the value that you want in Microsoft Project 98, follow these steps:
  1. On the View menu, click Resource Sheet.
  2. In the Max. Units column, type the appropriate value for the resource.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

The ability to control a resource's availability (Max. Units) over time is new in Microsoft Project 2000. Because Microsoft Project 98 can have only one Max. Units value, only one value is retained when saving to the Microsoft Project 98 format.

Microsoft Project 2000 determines the resource availability dates to save to the Microsoft Project 98 format by using the very first and very last availability dates in the Resource Availability table. If both the first Available From field and the last Available To field contain NA, then in Microsoft Project 98, the Available for entire project option is selected under Resource availability. On the other hand, if there is a date in either the first Available From field or the last Available To field, then in Microsoft Project 98, the data in those fields is used to set the Available From and Available To dates.
