OL2000: (CW) Distribution List Displays Inappropriate E-mail Types (222933)

NOTE: The procedures in this article only apply if you have installed Outlook with the Corporate or Workgroup option. With this option, you can use Messaging Application Programming Interface (MAPI) services. To determine your installation type, click About Microsoft Outlook on the Help menu. If you have the Corporate or Workgroup installation, you see "Corporate or Workgroup".

SYMPTOMS

If you have the Internet Mail service in your Outlook profile, and you create a new distribution list (DL), when you add new members to the DL you see Lotus cc:Mail, Lotus Notes, Microsoft Exchange, Microsoft Mail, and X.400, in addition to Internet Address as choices in the list of address types. There are no templates specific to each address type available to help create the e-mail address.

The Always send to this recipient in Microsoft Outlook rich-text format check box is not available until you create the contact entry in the DL and open the contact.

WORKAROUND

Use the Personal Address Book (PAB) if you need specific templates for creating e-mail addresses.

To Add a PAB to Your Profile

  1. On the Tools menu, click Services.
  2. Click Add, click Personal Address Book, and then click OK.
  3. Accept the default path or browse to select a different location for the file. The file extension must be .pab.
  4. Click the desired name order in the Show Names By section, and click OK.
  5. Click OK to the resulting prompt, and click OK to close the dialog box.
  6. On the File menu, click Exit and Log Off to close Outlook.
  7. Restart Outlook.

To Use the PAB Templates

  1. On the Tools menu, click Address Book.
  2. Click Personal Address Book, in the Show Names from list.
  3. On the File menu, click New Entry.
  4. Click Personal Address Book, in the Put this entry section.
  5. Click the desired entry type, and click OK to display the template.
  6. When you finish typing the required information, click OK.
  7. Close the Address Book.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

MORE INFORMATION

Unlike the Internet Mail Only installation type, the address type list is not dependent on the transport services in your profile.
