OL2000: Truncated Data From Imported dBase File (204937)

The information in this article applies to:

  • Microsoft Excel 2000
  • Microsoft Outlook 2000

This article was previously published under Q204937

SYMPTOMS

If you save a Microsoft Excel workbook containing a named range, in a dBase (.dbf) file format and then import the dBase file into Microsoft Outlook, some of the data may be truncated.

CAUSE

If any cells in your named range are narrower than the width of the data, that data is truncated because it does not fit within the visual selection of the named range. When you save the Microsoft Excel file in a dBase format, the data in those narrow cells is truncated.

RESOLUTION

There are two methods to resolve this problem:
  • Do not save the file in dBase format; import the file with the named range as a Microsoft Excel workbook file.
  • If you use the dBase file format, make sure all columns are wide enough to accommodate the data before you define the named range.

MORE INFORMATION

When you define a named range in a Microsoft Excel worksheet, the data in the last column may appear outside of the selected area if the width of the column is narrower than its data. If you save the workbook as a dBase file and then import it into Outlook, the data that did not fit within the last column is truncated. If you use the same procedure, but save the file as an Microsoft Excel workbook file, the data is not truncated.
