OL2002: Monthly View of Calendar Truncates Appointment (197900)

SYMPTOMS

If you set your Microsoft Outlook Calendar to the monthly view, your appointment information may be truncated and the start times of some of your appointments may not appear. The start time appearance may vary from one appointment to another.

CAUSE

The monthly view of the Outlook Calendar cannot wrap text within each day of the month. As the space available to display information in each calendar day in the monthly view of the Outlook Calendar decreases, less appointment information fits into each calendar day. Depending upon your screen resolution, overall size of the Outlook Calendar window, font, and font size, at some point, the text of each appointment is truncated.

A new feature is available for viewing long appointment names, beginning with Microsoft Outlook 2000. While the monthly view of the calendar appears the same, a MouseOver event has been added that allows you to rest your pointer over an appointment to see the start and end times and all of the text in the appointment's subject field. However, printing the monthly calendar still truncates long appointments.

RESOLUTION

To resolve this issue, use the methods listed below. You may need to use a combination of the methods listed below and try various settings to find the best result.

Change Font or Reduce Font Size

To change the font or reduce the font size in the Outlook Calendar:
  1. Open your Outlook Calendar to the monthly view.
  2. On the View menu, point to Current View, and then click Customize Current View.
  3. Click Other Settings, and then under Month, click Font.
  4. In the Font list, click to select the desired font.
  5. In the Size list, click to select a smaller font size, click OK, and then click OK again.

Increase the Display Resolution

NOTE: As you increase the screen resolution, objects appear smaller on the screen; therefore more information fits in the same screen space. For people who have low vision, increasing the screen resolution may not be the best option.

To increase the Windows screen resolution:
  1. Right-click a blank area of the Windows Desktop, and then click Properties.
  2. In Display Properties, click the Settings tab.
  3. Under Screen area or Screen resolution, drag the slider bar towards More to select a higher screen resolution. For example, select 1024 by 768 pixels or 1153 by 864 pixels.
  4. Click OK, and then click OK again if a Display Properties message appears.
  5. If a Monitor Settings window appears, if the desktop is displayed correctly, click Yes.

    NOTE: If the desktop is not displayed correctly, your monitor may be unable to display the selected screen resolution. In this case, click No, and then select a different resolution setting.

Hide the Outlook Bar and File Menu Views

Hiding the Outlook Bar view and the Folder Menu view in Outlook will allow the Outlook Calendar view to take up more space on the screen. Allowing the Outlook Calendar view to take up more space on the screen will decrease the likelihood of text in the monthly view of the Outlook Calendar being truncated. If the Outlook Bar or the Folder Menu are showing, they can be hidden by clicking View on the Outlook menu bar and then clicking on the selection that you wish to hide.
