Troubleshooting SBS Faxing Issues (184822)

Use the following checklist to verify that the computer running SBS has been configured properly.

1. Are the system and modem on the Hardware Compatibility List (HCL)? Check the following Web site for more information:
   
   http://www.microsoft.com/SMALLBUSINESSSERVER/deployadmin/Recommended.htm
   
   This is a supplemental list of modems. If you only have one modem and need to send and receive faxes as well as use incoming and outgoing RAS, then you must use a modem on this SBS modem list. This is because these modems support "Adaptive Answer" capabilities. Adaptive Answer means that a modem can differentiate between an incoming RAS call and an incoming fax call.
   
   If you have multiple modems designated for RAS and fax use, then you can use any modem that is listed on the Windows NT HCL (or any other modem as long as it can be automatically detected during setup).
   
   At least one Class 1 modem must be installed during the SBS setup. The modem must not be a data-only modem or error messages may occur.
2. If you are uncertain if the modem is a Class 1 modem, use the following steps to determine the Classes the modem supports using HyperTerminal. a. Click the Start button, point to Program, point to Accessories, point to HyperTerminal, and then click HyperTerminal. b. In the New Connection window, type any name and then click OK. Select the modem with the COM port you wish to test, then click Cancel. c. Type ATZ, and then press Enter. This command will reset the modem, and is necessary in order for you to see the commands you are typing with some modems. d. Type AT+FCLASS=?, and then press Enter. If the reply includes a 1, then your modem is a Class 1 modem.
3. If the modem is external, make sure it is connected properly and turned on. Try turning the modem off and on again and retry sending the fax. You can also check the status in the Fax Server application in Control Panel by clicking the Status tab.
4. Verify the permissions by performing the following steps:
   
   1. Click the Start button, point to Settings, and then click Printers.
   2. Right-click the Fax, click Properties, and then click the Security tab.
   3. Click Permissions and verify that the user attempting to fax has at least Print permissions.
   4. In Windows NT Explorer, verify that Everyone has at least Change permissions on the following folders:
      
      %SystemRoot%\Faxreceive
      
      %SystemRoot%\FaxStore
   In Control Panel, check the following settings:
   
   
5. Double-click Services. Make sure the Microsoft Fax and Telephony Services are started. Also, check the startup account for the Fax Service by performing the following steps: a. Select the Microsoft Fax Service, and then click Startup. b. Verify that the account this service is using is an administrator account. NOTE: If the password for this account has recently been changed, it must also be changed here.
6. Double-click Telephony. Make sure the TAPI and Unimodem drivers are installed on the Telephony Drivers tab.
7. Double-click Modems. Make sure the modem is attached to the correct COM port. Verify the Properties of the device and make sure the settings are correct for the modem type.
8. Double-click Fax Server. Verify the following:
   1. 
      
   2. If this is an outgoing fax server, click the Send tab:
      
      
      • Is a Fax Printer listed? Try creating another fax printer and testing it.
        
        NOTE: The file Fwsrvdlg.ini contains the printer name listed here.
        
        
      • Is a Device Name (modem) selected?
   3. If this is an incoming fax server, click the Receive tab: - Is a Device Name (modem) selected?
   4. If the inbound device is configured to send incoming faxes to a printer, make sure the printer is online and can successfully print a test page.
   5. If the inbound device is configured to send incoming faxes to a folder, check the NTFS permissions on the folder in Windows NT Explorer.
   6. If the inbound device is configured to send incoming faxes to the local inbox, make sure the Profile Name selected is the currently logged on user and the user has administrator rights. This user must also be the user who started the Fax Service in Step 4.b. above.
   7. Click the Logging tab. Change the appropriate event(s) to Maximum logging level. Retry the fax job, then check the event log for any fax-related events.

Microsoft Fax Server 1.0 Clients

Use the following checklist to verify that the client is properly configured.

1. Test multiple clients. Does only one client fail? If so, check the appropriate permissions of the Fax Printer on the server. Log on to that client computer as another user and test the fax to see if the problem is user or operating system specific.
2. Manually reinstall the Fax client by running the appropriate setup command below:
   
   Windows 95:
   \\<Server name>\Clients\Ms\Fax\Win95\Setup.exe
   
   Windows NT:
   \\<Server name>\Clients\Ms\Fax\I386\Faxsetup.exe
   \\<Server name>\Clients\Ms\Fax\Alpha\Faxsetup.exe
   
   This will rerun the Microsoft Fax Server 1.0 Client setup program. For a complete list of files installed with the setup program, see the section at the bottom of this article.
3. If manually reinstalling the fax client did not resolve the issue, you may need to remove the fax client first, then reinstall it. To uninstall the fax client, open Control Panel, double-click Add/Remove Programs, select Microsoft Fax Server Client (or Microsoft Fax Service in Windows NT) and click Add/Remove.
   
   NOTE: removing the Microsoft Fax Service on a Microsoft Small Business Server will remove both the Fax Client and the Fax Server.
   
   This will remove the fax client components as well as the Wang Imaging application for viewing fax images. It will not, however, remove any shared components or .dll files. After uninstalling the fax client, repeat step 2 in the Microsoft Fax Server 1.0 Clients section above to manually install the fax client.
   
   In Control Panel, check the following settings:
   
   
4. Double-click the Mail and Fax icon. On the Services tab, verify that Fax Mail Transport is installed. If you are using Microsoft Outlook, Microsoft Exchange Server should also be present. If you wish to use fax addresses from the Address Book, install the Fax Address Book as well.
5. Check to see if the Fax Client and Mail and Fax icons were installed. If not, the client setup was not successful.
