TMGR: Switching Views Grouped by Project Expands Groups (161647)

SYMPTOMS

When you group a view by Project and then apply a different view, groups and summary tasks are expanded, and tasks with assignments are collapsed.

WORKAROUND

Method 1

After switching views, collapse or expand groups, summary tasks, and tasks with assignments as desired.

Method 2

Instead of grouping by Project, group by a custom text field with a strict list of Type Choices containing the project names.

The following steps detail how to create and group by a custom text field named Team Project. You can use a different field name if you want, or if another custom field already has the name Team Project.

  1. Apply the view that you want to group. This must be a view that can be grouped, such as a Tasks tab sheet or timescaled view or a Vital Signs tab custom view.
  2. On the Format menu, click Add/Remove Columns, and then click the Custom Fields button. Click the Add button.
  3. For Field Name, enter Team Project.
  4. In the Type list, select Text.
  5. Click "Define choices for this field" and enter the names of the projects you want to use. Do not select the "Allow other values to be typed" option. Specify a Default Choice if desired.
  6. Click OK, and then click Close.
  7. In the Add/Remove Columns dialog box, from the Available Fields list, select Team Project, and then click the Add button. Use the Move Up and Move Down buttons to position the field in the table. Click OK.
  8. For each task, from the Team Project field list, select the appropriate project.
  9. If a Tasks tab view is to be grouped, then on the View menu, click Grouping, and then click Custom Grouping.

    If a Vital Signs custom view is to be grouped, then on the View menu, click More Views, click the Add/Remove tab, and click the Edit button. This displays the Vital Signs View wizard. Click Next, click Next again, and then click the Group Tasks button.
  10. In the Group By list, select Team Project, and then click OK.

    If a Vital Signs custom view is being grouped, then you must also click Finish, and then click OK.
NOTE: To add or remove project choices, the Team Project field Type Choices list must be updated.

STATUS

Microsoft has confirmed this to be a problem in the products listed at the beginning of this article. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.

MORE INFORMATION

A header record is any record with a folder icon in front of its name in the Task Name field. This includes group headings, summary tasks, and tasks with assignments. To collapse or expand a header record, double-click the folder icon in front of the name.

Task sheet views, task timescaled views, and custom Vital Signs views can be grouped by People Assigned, Priority, Project, Status, and any custom text field with a strict list of Type Choices. If a view is grouped by Project, then switching views expands groups and summary tasks, and collapses tasks with assignments. If a view is grouped by any field other than Project, then the collapsed or expanded state of group headings, summary tasks, and tasks with assignments is maintained when switching views.

NOTE: The Custom Grouping dialog box contains a Show Summary Tasks option that determines whether or not summary tasks are displayed. The Format Sheet dialog box contains a Summary Tasks option that also controls this.
